Tasks

 

All Projects are made up of tasks, and understanding how to manage your tasks (and everyone else’s) is the secret of getting your projects finished on time. The ability to keep a record of your tasks and deadlines makes the task management feature an essential tool for all your freelance business needs.

 

Tasks List

 

The Tasks list shows a list of all your projects, for all tasks, in an easy-to-follow table manner.

 

Tip

 

You can mark a task as finished by clicking on the checkbox on the left side of the task name.

 

Create Tasks

 

Stages

 

Now open a project and click on tasks tab to create project task stages. Now Click on the gears symbol on the right side of the top navigation bar. A modal pop-up that allows you to add, modify, or delete the stage.

 

New Task

 

Now to create a new task, open the project, you want to create a task. Click on tasks tab and press on the Create button.

 

The task creation form contains the fields is as under:

 

  • Task Name: Fill the task name
  • Milestone: (Optional) Choose a milestone attached to the respective project 
  • Stage: Mention the task stage, e.g., Backlog
  • Team: Choose multiple users assigned to the task
  • Description: Write the task description
  • Start Date: The date when the task should start
  • Due Date: The date when the task should end
  • Hourly Rate: The billing rate of the task to charge per hour 
  • Est. Hours: The total number of estimated hours a task takes
  • Recur Every: Choose the frequency in which the task repeats.
  • Visible to Client:  To hide from customer uncheck it
  • Tags: Custom tags, e.g., design, logos, etc.

 

Time Entry

 

There are two styles to record time spent on a task: Manual and Timer. 

 

Timer

 

It is an automatic feature timer that allows you to track working sessions in real-time. Press Start, to begin the timer. Then get to work. The timer runs until you stop it. When you choose to Stop, the timer will end, and the time entry viewed in the Timesheets section from the task pages.

 

Manual

 

The second way you to create a time entry is by manual entry of the session information.

 

  • Click on Time Entry button to enter time manually.
  • Choose a task from the dropdown list, which is optional.
  • Enter time in the format of {hours}:{minutes}:{seconds} i.e 01:20:10 means 1 hour, 20minutes and 10 seconds.
  • Alternatively, you can select a start time and end time by checking Use start and End Dates checkbox.
  • Enter time entry description and select whether it is billable or unbillable.

 

The Recurring Tasks

 

To create recurring tasks, you have to do tasks again and again as part of an individual project. Before you set up a repeat, you will first have to make sure that you have a due date set on the task.

 

While editing the task, you will see the Recur Every field, and under this field, you can select when the task should repeat:

 

You can set a repeat time interval of daily, monthly, quarterly, six months, weekly, and year.

 

Once you chose the interval, you can decide for the repeat to stop on a specific date.

 

Note

 

Any files attached to the original task can not carry over to each of the future repeating task.

 

Tip

 

Edit the task and change the Recur Every field to None, to stop a recurring task.

 

Tip

 

The Reminders are sent based on the due date of the task.
